PRIVACY POLICY
We care about data privacy and security. Please review our Privacy Policy: www.psychwest.com/privacy-policies. By using the Services, you agree to be bound by our Privacy
Policy, which is incorporated into these Legal Terms. Please be advised the Services are hosted in
the United States. If you access the Services from any other region of the world with laws or other
requirements governing personal data collection, use, or disclosure that differ from applicable laws in
the United States, then through your continued use of the Services, you are transferring your data to
the United States, and you expressly consent to have your data transferred to and processed in the
United States.
1. Collection of Information
We collect various types of information, including but not limited to, personal data provided by
users during account creation, usage data from your interactions with our service, and
technical data about your device and internet connection.
2. Use of Information
The information collected is used to provide and improve our services, manage user accounts,
conduct analytics and research, communicate with users, and enforce our Terms of Service. While you are subscribed to our newsletter, we use your email address to send it. If you start a checkout in our shop and do not finish it, we may use the email address you entered to send you a reminder about your cart. To stop these emails, see “Marketing email” in our Terms of Service.
3. Sharing of Information
We do not sell or rent your personal information to third parties. We may disclose personal
information to comply with laws, prevent fraud, resolve disputes, troubleshoot problems, assist
with any investigations, and take other actions permitted by law.
4. Data Security
We employ reasonable security measures to protect the information we collect. However, no
system can be completely secure, and we cannot guarantee that our measures will prevent all
unauthorized attempts to access, use, or disclose personal information.
5. User Rights
You have the right to access, correct or delete your personal data, and to object to or limit how we use it.
• To use these rights, email psychwestinc@psychwest.com.
• Verification: we verify your identity before acting, because deleting an account cannot be undone. We respond within 45 days.
• Paid plans and agency accounts: if you have a paid plan, we stop its renewal first. If you hold an agency account, we tell you, before acting, what will happen to your staff’s access and your agency’s client records.
• What we keep: we delete the personal information covered by your request, which may be all of it or only part. We keep records of orders, invoices, payments and renewal consents, and anything else the law requires us to keep, for as long as the law requires.
• Different from canceling: to cancel a subscription or the Free Evaluator Plan without deleting your data, use the Subscriptions tab of your account. A Free plan supporting your own agency can be canceled there without emailing us; your account and agency records are kept (see “Cancellation” in our Terms of Service).

5A. Data Retention
We keep your account information until your account is removed: at your request, under Sections 20 and 31 of our Terms of Service, or, for a former staff member’s login, by the agency that archived it (Terms Section 9). An agency can do this only if the login holds nothing of the person’s own. Accounts that are canceled, dormant or suspended are kept until then. Canceling a Free Evaluator Plan that supports your own agency does not by itself start the 12-month agency-removal process. Requesting permanent deletion is a separate action: contact us under User Rights above. Client records entered through the Services must be de-identified (Terms Section 19): your agency holds the key that links a record to a real person, and Psychwest does not ask for it.
6. Changes to this Policy
We reserve the right to modify this privacy policy at any time. We encourage users to regularly
review our privacy policy to stay informed about how we are helping to protect the personal
information we collect.
